Privacy Policy

This page is a plain-language draft written by the Prepwise team. It is not legal advice and has not been reviewed by a lawyer.

Short version: we keep what we need to run Prepwise for you, we do not sell it, and you can delete it yourself.

1. Who we are

2. What we store

Your account: your email address, your language, and the time of your sign-ins.
Your shop: its name, time zone and how you ring up sales.
Your purchasing: suppliers, products, invoices (the lines, prices and totals you confirm) and the invoice photos or PDFs you upload.
Your menu and recipes, if you add them.
Your sales numbers, from a file you import or from your Clover connection.
Basic technical data, such as your IP address, kept briefly to limit abuse of the sign-in form.
If you connect Clover: your Merchant ID and a read-only access token that you create. With it we read your orders, inventory (items, sizes and modifiers) and payments, and we keep the sales by item and day. We never change anything in Clover. We do not store card numbers or your customers' details.
Menu photos and PDFs you scan, and what we read from them (item names, prices, sections and suggested ingredients). We delete the photos as soon as your menu is read. If reading fails we keep them so you can try again, for 7 days at most. What we read is kept for 30 days after you last worked on that scan, then deleted. You can delete a scan and its photos sooner. Recipes you confirm stay until you delete them.

3. What we do not do

We do not sell your information.
We do not show ads or share your information with advertisers.
We do not use your invoices, photos or sales to train AI models.
Menu photos and PDFs you scan are sent to Anthropic, an outside AI provider, so it can read them. Your invoice photos are not sent to any outside reading or AI service. If that changes, we will update this policy and tell you before it happens.

4. Who helps us run it

We use a few companies to run Prepwise. They handle your information only for us, to provide their service:

Supabase: database, file storage for invoice and menu photos, and sign-in. Hosted in the United States.
Vercel: hosting of the app.
[Email provider, to be added]: sends your sign-in emails.
[Bot-check provider, if turned on]: checks that the sign-in form is used by a person.
Clover: if you connect it, the place we read your sales and menu from. Clover's own terms and privacy policy cover your Clover account.
Anthropic: reads the menu photos and PDFs you choose to scan, only when you tap Read my menu. Hosted in the United States.

We may also share information if the law requires it, or to protect people from harm.

5. Cookies and similar storage

We use only what the app needs: a sign-in session cookie, a language setting and your light or dark theme. We do not use advertising or analytics cookies. If that changes we will update this policy first.

6. How long we keep it, and deleting

We keep your information while your account is open. You can delete your shop and account in Settings, then Delete shop and account. That removes your shop's invoices, photos, menu, sales and your sign-in account. Copies in our provider's backups can last a short time longer (about a week) and then expire.

You can disconnect Clover at any time on the Clover connection screen. That deletes your token right away and we stop reading Clover. The sales already read stay in Prepwise until you delete them with your shop. Deleting your shop also deletes the token. You can also delete the token in Clover yourself.

7. Security

Your connection is encrypted. Each shop can only see its own data, and invoice and menu photos are kept in a private folder. No service is perfectly secure, and we cannot promise that nothing will ever go wrong. If your information is exposed, we will tell you.

Your Clover token is encrypted before it is stored, and it is never shown back to you or to anyone else in the app.

8. Your choices

You can see and change your shop details in the app, export your invoices as CSV, and delete everything in Settings. For anything else, such as a copy of your data or a correction, write to [contact email, to be added before launch].

9. Children

Prepwise is for business owners and is not meant for anyone under 18.

10. Changes

If we change this policy in a way that matters, we will tell you by email or in the app first. The date at the top shows when it was last updated.
